Questions to Ask Before Booking a Wedding Venue

A pretty venue can still be a bad choice.

The best venue is not the one with the best photo. It is the one that fits your guests, budget, weather plan, and schedule with the fewest risks.

Ask every venue the same questions. Get each answer in writing. Then compare the full deal.

Start with the true price

The price on the ad may not be the price you pay.

Ask:

1. What is the full venue fee for our date and hours?
2. Is tax already in the price?
3. What down payment is due?
4. When are the next payments due?
5. What can be refunded if we cancel?
6. Can we move the date? What is the fee?
7. Is there a security deposit? When is it returned?
8. What costs extra?

Ask for one sample total based on your real guest count. It should show every fee.

Ask what is included

Do not accept the word “package.” Ask what each line means.

• How many hours are included?
• Are set-up and pack-down hours included?
• Are tables, chairs, cloth, plates, glasses, and staff included?
• Is basic styling included?
• Are lights, sound, stage, and screen included?
• Is air-conditioning included for the full event?
• Is there a bridal room or prep room?
• Is cleaning included?
• Is parking free?
• Is a generator included?

If an item is not in the contract, treat it as not included.

Ask about food and drinks

Food is often one of the biggest wedding costs.

Ask:

• Must we use the venue’s caterer?
• What is the price per guest?
• What happens if our guest count goes up or down?
• Is there a minimum spend?
• Are service charge and tax included?
• Can we taste the food first?
• Are drinks, ice, coffee, and water included?
• Is there corkage for cake, wine, lechon, or outside food?
• Are meals for suppliers charged at the full guest rate?
• Can the venue handle food allergies and special diets?
• What food may guests take home?

Compare the all-in food cost per guest, not only the menu price.

Ask about time

Overtime can hurt the budget.

• When can suppliers enter?
• When can styling start?
• What time must music stop?
• What time must guests leave?
• What is the overtime cost per hour?
• Is there a grace period?
• How long does clean-up get?
• Are there barangay or city noise rules?
• Can we hold both the ceremony and party there?

Also test the drive from the ceremony site at the same day and time as your wedding. Philippine traffic can turn a short map route into a long wait.

Ask about rain, heat, and power

PAGASA says the Philippines often has a rainy season from June to November. Local weather still differs by place.

For any outdoor plan, ask:

• What is the indoor backup room?
• Does it fit the full guest count?
• When must we choose the rain plan?
• Who moves the set-up?
• Is there an extra fee?
• Are paths covered from the drop-off point?
• Does the site flood?
• What happens during strong wind?
• Is there a generator?
• Can lights, sound, and air-conditioning run on it?

Ask to see the real backup space. “We can add a tent” is not a full rain plan.

You can also check the address on the government-run HazardHunterPH tool. It shows risks such as flood, landslide, storm surge, and strong wind using data from public agencies.

Ask about guests

Walk through the day like a guest.

• How many people fit with tables, a stage, and a dance floor?
• How many toilets are there?
• Are there ramps, lifts, and easy paths for older guests and persons with disabilities?
• Is there a safe drop-off point?
• How many cars can park?
• Is public transport or ride-hailing easy to find?
• Is there a waiting area before the event?
• Is there shade for outdoor areas?
• Are there nearby hotels?
• Is there a quiet room for babies, older guests, or anyone who feels unwell?

Do not book a 150-person room for 150 guests without checking the real layout. Staff, suppliers, and equipment also need space.

Ask about suppliers

• Must we choose from an approved supplier list?
• Is there a fee for outside suppliers?
• Does the venue take a share from suppliers?
• Where can suppliers load and park?
• Are there stairs or lifts for gear?
• What power limits apply?
• Are candles, sparklers, smoke, hanging décor, or heavy items allowed?
• Can flowers and food be delivered early?
• Is there safe storage?
• Who is the venue contact on the wedding day?

Send these rules to suppliers before they quote. A cheap supplier can become costly if the venue adds fees.

Ask about safety

The Fire Code bans blocked exits and crowds above a site’s allowed capacity.

Ask:

• What is the legal guest limit for our layout?
• Where are the fire exits?
• Are exits clear and marked?
• Does the venue have a current Fire Safety Inspection Certificate?
• Where are fire tools and first-aid kits?
• Who handles an emergency?
• What is the exit plan for older guests and persons with disabilities?
• Where is the nearest clinic or hospital?

This is not being “maarte.” It is basic care for your guests.

Read the contract before you pay

The contract should state:

• Exact date and hours
• Rooms and areas you may use
• Guest count and final count date
• Full price and all fees
• Payment dates
• What is included
• Overtime rate
• Rain and power plan
• Damage rules
• Date-change and cancel rules
• Refund rules
• Names and signatures of both sides

Keep the contract, proof of payment, and all approved changes. If a promise matters, put it in writing.

Use a simple venue scorecard

Give each venue 0, 1, or 2 points for each line.

The highest score may not have the best view. It may give you the best day.

Red flags

Pause if the venue:

• Will not give a written quote
• Pushes a fast payment before sharing terms
• Hides extra fees
• Has no real rain plan
• Will not state the legal guest limit
• Blocks you from reading the full contract
• Gives different answers from different staff
• Wants payment to a name that does not match the business without a clear reason
